Terms and Conditions

These Terms and Conditions govern the use of the website travelpack.pro and the hotel enquiry and booking services provided by Travelpack.pro LLC, 212 E 22nd St Suite, Cheyenne, WY 82001, United States (“TravelPack.pro”, “we”). By requesting a quote, making a booking or using the travel-agency portal you accept these terms.

1. Our role

TravelPack.pro acts as an intermediary between you and the hotels and accommodation providers in Makkah and Madinah (the “Hotel”). The accommodation contract is performed by the Hotel; TravelPack.pro is responsible for processing your booking, transmitting it correctly and issuing the confirmation, voucher and invoice. Hotel descriptions, photos, star ratings and distances are provided by the Hotels and our suppliers and are given for information; we correct inaccuracies as soon as we are made aware of them.

2. Quotes and enquiries

Quotes sent in reply to an enquiry are indicative and free of charge. They are valid for the period stated in the quote (by default 48 hours) and are subject to availability at the moment of confirmation. No room is held until a booking has been confirmed in writing.

3. Bookings and confirmation

• A booking request made on the website or through the agency portal receives a reference number (TP-…). It becomes firm only when we send a written confirmation and a voucher (V-…) by e-mail or through the portal.
• The lead guest must be at least 18 years old and is responsible for the accuracy of all names, dates and guest details. Names must match the travel documents presented at check-in.
• Check-in and check-out times, room occupancy limits, meal plans and any Hotel policies stated on the voucher form part of the booking.
• Hajj and Umrah stays are subject to the entry, visa and permit rules of the Kingdom of Saudi Arabia (including Nusuk registration during Hajj and Ramadan). Obtaining these permits is the guest’s responsibility; a booking does not guarantee a permit.

4. Prices, taxes and currencies

• Prices are quoted per room per night for the selected occupancy and meal plan. Unless stated otherwise they include the Saudi value-added tax (currently 15 %) and municipality fees; personal extras consumed at the Hotel are paid on site.
• Our contractual currency is the Saudi Riyal (SAR). Amounts shown in other currencies are converted at our indicative rate for information only; invoices are issued in SAR and payments in another currency are converted at the rate applied by the payment provider or bank.
• Prices can change until the booking is confirmed. Once confirmed, the price is fixed except for changes in taxes or fees imposed by law.

5. Payment

The payment terms (deposit or full prepayment, due dates, accepted methods) are stated in the quote or confirmation. If payment is not received by the due date, the booking may be cancelled and the Hotel’s cancellation charges applied. Bank charges are borne by the payer.

6. Changes, cancellation and no-show

• Each booking carries the cancellation policy of the Hotel and rate concerned, stated on the quote and voucher. Bookings for Hajj, Ramadan and other peak periods are usually non-refundable once confirmed.
• Cancellation or modification requests must be sent in writing (contact form, agency portal or WhatsApp) and take effect when we acknowledge them. Charges are calculated according to the policy in force at that moment.
• If a guest does not arrive on the check-in date (“no-show”) or leaves early, the full stay is charged unless the Hotel agrees otherwise.
• If a Hotel cannot honour a confirmed booking, we will offer accommodation of an equivalent or higher category at no additional cost or refund the amounts paid; our liability is limited to the price of the booking.

7. Travel-agency (B2B) portal

• Access is granted to licensed travel agencies after approval of an account. The agency is responsible for all bookings made with its credentials and must keep them confidential.
• Net rates, mark-ups, credit limits and payment terms are those agreed in the agency’s account. Invoices are payable within the agreed period; overdue balances may lead to suspension of the account and cancellation of unpaid bookings.
• The agency remains liable towards its own clients and must pass on the Hotel’s conditions and cancellation policy to them.

8. Liability

TravelPack.pro is not liable for services provided by the Hotel, transport companies or other third parties, nor for events beyond our reasonable control (force majeure, official restrictions, epidemics, natural events, strikes). Our total liability for a booking is limited to the amount paid for that booking, except in cases of gross negligence or wilful misconduct, and nothing in these terms limits liability that cannot be limited by law. We recommend that guests take out travel insurance covering cancellation, medical costs and personal belongings.

9. Website use and intellectual property

The content of the website (texts, hotel database, photos, logos, software) belongs to TravelPack.pro or its licensors and may not be copied, scraped or reused without written permission. Automated extraction of data, in particular hotel listings and contact details, is prohibited. You must not use the site for unlawful purposes or in a way that may damage or overload it.

10. Personal data

Personal data is processed in accordance with our Privacy Policy.

11. Governing law and disputes

These terms are governed by the laws of the State of Wyoming, United States, without prejudice to mandatory consumer-protection rules of the guest’s country of residence and to the Saudi regulations applicable to accommodation in Makkah and Madinah. We will try to resolve any complaint amicably first; contact us through the contact form. Failing an amicable settlement, the competent courts of Wyoming have jurisdiction, unless mandatory law provides otherwise.

12. Changes

We may update these terms; the version in force is the one published on the website on the date of your booking.
